Privacy notice

Draft for legal review. This notice explains what we collect when you use our matching service and what we do with it.

Who we are

Hello Hattie is a trading name of TRG Digital Ltd, a company registered in England and Wales (company number 11731704), Suite Ra01, 195-197 Wood Street, London, England, E17 3NU. We are the controller of the information you give us.

What we collect

  • Your name, phone number, email address, and the address and postcode where care is needed
  • Your answers about the care arrangements: who it’s for, the type and amount of care, the kind of help, when it’s needed and how it’s likely to be paid for
  • How you found us, such as the advert you clicked, and basic technical details about your visit

We don’t ask about medical conditions, and please don’t send us health information.

What we do with it

With your agreement, we pass your details and answers to a home care agency registered with the Care Quality Commission that covers your postcode, so they can contact you about care. We send your details to one agency only. That agency then handles your information under its own privacy notice. If you ticked the box for guides, we’ll also email you occasional guides, and you can unsubscribe at any time.

Checking your details

So the agency can reach you, we check your details when you send them. We look up addresses for your postcode, and check that your phone number is live and your email address can receive email, using Ideal Postcodes (Ideal Postcodes Ltd, UK). If you give a mobile number, we send a one-time code by text to confirm it, using Twilio. These companies only process your details to carry out the check.

Postcode look-ups

When you use the service area tool on our home page, we look up the location of your postcode district (the first half of your postcode, such as WR14) using postcodes.io, a free postcode service. We don’t send the full postcode, and we don’t store the look-up.

Cookies and analytics

If you accept analytics cookies, we use Google Analytics to see which pages people visit and how they use the site, so we can improve it. Google Analytics doesn’t receive your name, phone number, email or address. If you reject, or don’t choose, analytics cookies stay off. You can change your choice at any time with “Cookie settings” at the bottom of every page.

We also keep a note of how you reached us, such as the advert you clicked, for the length of your visit. This is stored in your browser and is not a cookie.

Anonymous page measurement

We measure how our pages and our matching form are used so we can make them easier to use: which pages are viewed, how far down a page people scroll, which buttons are clicked, which questions on the form are answered and where people stop, and where a visit came from, such as an advert. We record the answers you choose on the form, and only the first half of the postcode (such as WR14), never your name, phone number, email or address. This uses a random identifier held in the memory of your browser tab while the page is open; nothing is stored on your device. We do this on the basis of our legitimate interest in improving the service. To switch it off in the browser you are using, click here; we remember that choice so it stays off. To switch it back on, click here.

Changing your mind

You can withdraw your agreement at any time by emailing hello@hellohattie.co.uk. We’ll stop sharing your details and tell the agency we introduced you to.

How long we keep it

We keep enquiry details for 12 months, then delete them.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, or object to how we use it, by emailing hello@hellohattie.co.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk.
